As professionals, our main goal is to create a great fit for every prospective client. When we are unable to create that fit, we are deeply saddened - this case is no exception. Kristen’s review is an opportunity for reflection and a hope that our future responses may be useful to those who seek our services.

Naturally, with any project, there is some back-and-forth with the prospective clients to establish the groundwork for their project. This communication also helps to firm-up anticipated timelines and establish goals for the final result.

Regardless of timeline, we attempt to accommodate our clients’ needs, placing them as a top priority when establishing project goals. Though timelines can vary and are subject to forces outside of our control, we still are realistic with every client and pride ourselves in our ability to deliver. Should a project be outside of our comfort level, we may make recommendations for the client to help them achieve their goals. Granted, when pressed for hard details, we will generally note our typical project turnaround time and fees associated - always keeping in mind that as scope expands, so do both price and timeline. In the case of Kristin's project, we noted in our initial conversations that we would reasonably be able to work within a 3-4 month time frame for her project - this was prior to knowing the level of detail or other aspects of the project; we again were clear that if the scope was to expand, so would the price and timeframe.

We sent Kristen and Scott different Scopes of Services that were associated with varying fee ranges, and they asked that we provide a quote in a lower price range. On October 7, we submitted a proposal with our services and our proposed fee, believing these to be in line with their goals. They then insisted that we further reduce our fee without reducing our services.

During these interchanges, among multiple delays, we learned that these prospects had spoken with a previous client and were expecting a fee similar to the previous client’s, even though the project scope and size were substantially different. As they continued to insist that we reduce our fee without reducing our level of service, we realized we may not be able to meet their needs. We suggested that they explore other options in emails on October 22, based on differences in anticipated schedule and fee expectations. Kristen and Scott had previously noted they were interviewing 3 other firms and we encouraged them to explore those options as our firm was not going to be the best fit for their project based on scope and pricing.

As they continued to press us for conditions to which we could not agree, we could not take further time away from our existing clients to repeat our position. We reserve the right to determine those commissions that are a best fit for both our clients and for our firm, and unfortunately, this one did not work out. We are deeply saddened that we could not be the primary choice for Kristen and her needs. The clients were very nice people, which makes all this even more upsetting We do value every client individually, especially as they become part of our greater Southeast Studio family, and attempt to make every client happy.
